Basic Function

The Production Office Administrator will possess an aptitude for creative and proactive problem solving and should show comfort and proficiency in taking the initiative during all steps of the production process.


Characteristic Duties & Responsibilities

  • The Production Office Administrator will:
    • Actively contribute to a work environment of safety and respect;
    • Record and input IATSE stagehand payroll for all Flynn shows and House Crew hours, following established payroll protocol and systems;
    • Track labor and other expenses for individual projects and general department projects;
    • Apply for, coordinate, and manage all City of Burlington permits required for shows;
    • Manage the production department’s project management platform;
    • Generate and distribute production department schedules and briefings;
    • Process and respond to general production-related inquiries from other Flynn departments or external stakeholders; send all general production-related communications to other Flynn departments;
    • Assist with other aspects of the ‘advance’ process for incoming shows; serve as Flynn Production lead on shows as assigned;
    • Coordinate all external production rentals including lighting, audio, staging, backline, and other miscellaneous equipment.
  • The Production Office Administrator may occasionally be the Production Manager on duty.
  • Other duties as assigned, such as researching and/or overseeing theatrical maintenance and capital improvement projects.


Supervision Exercised 

Partial administrative supervision of IATSE Stagehands.

Supervision Received

Supervision is received from the Production Manager and the Director of Production.


Required Qualifications

  • A minimum of 2 years of professional theatrical production experience
  • Familiarity with all areas of theatrical production and presentation;
  • Thorough working knowledge of Windows operating systems, and the Microsoft Office Suite including Outlook, Excel, Word, and PowerPoint;
  • Ability to sit, stand, climb stairs;
  • Ability to work irregular hours, including nights and weekends;
  • The ability to work well under pressure and prioritize in a multi-task environment is essential. 
  • Experience with or aptitude for settlements, budgets, etc.


Desired Qualifications

  • Direct experience with theatrical tour production, on the road or as a local stagehand.
  • Experience with payroll software;
  • Office management experience;
  • Experience with outdoor events, festivals, and non-traditional performance art.
